Bruin OnLine "Special"-class Users
Some BOL services are available on a temporary basis to select groups of individuals, such as visiting scholars, departments and student groups.
Departmental E-mail Accounts
UCLA departments can request BOL e-mail accounts for group use. To apply for a departmental email account, please download the Application for Departmental Email Address and return the completed form to the Bruin OnLine (BOL) Help Desk. Departmental email accounts do not include network access (dial-up, VPN, wireless, proxy, etc.).
If you have forgotten the password for the departmental email account, the department must complete and submit the Departmental Email Account: Password Reset Form. Please return the completed form to the BOL Help Desk.
Note: You will need Adobe Acrobat Reader installed on your computer to view and complete the forms.
Services for ASUCLA Employees
Full-time ASUCLA employees are eligible for BOL services. They can get access by visiting the BOL Help Desk with their ASUCLA staff ID card.
If you have forgotten your password, you must stop by the BOL Help Desk to have it reset. You must bring a valid photo ID so that we can verify that the UCLA Logon ID belongs to you. If there are any questions, please contact us at accounts@ucla.edu or (310)267-HELP (4357), option #2.
Group and Organizational E-mail Accounts
Student groups and campus organizations can apply for an e-mail account by contacting the Center for Student Programming in Kerckhoff Hall, Suite 105 or by email at csp@ucla.edu. Group/organization e-mail accounts do not include network access (dial-up, VPN, wireless, etc.) or BOL-hosted web space.
If you have forgotten your password, you must contact the Center for Student Programming to have it reset.
Temporary Services (Visiting Scholars)
Visiting scholars are eligible for Bruin OnLine services. However, as their status is somewhat unique, their names are not listed in the UCLA Registrar's database or in the UC Payroll system. For information and clarification on what constitutes a visiting scholar, please visit the following page:
Graduate Division Visiting Scholar Definition/Eligibility
Individuals considered UCLA Affiliates are NOT automatically eligible for services even if they are able to obtain a Bruincard.
In order to obtain access to BOL services, a visiting scholar will need to:
- Create a Non-Affiliated UCLA Logon ID:
- Visit https://logon.ucla.edu
- Click on the "Create UCLA Logon ID" link
- Read and Accept the Acceptable Use Policy
- Select the option "I do not have a UCLA Identification Number"
- Complete the logon ID selection process
- Obtain a letter on UCLA letterhead from his department, signed by the department Chair or Director as well as provide the accompanying visiting scholar appointment form, approved by Graduate Division. The letter should contain the following information:
- Introduction of the scholar
- Reason the individual needs access to BOL services
- The Non-Affiliated UCLA Logon ID he was able to obtain in the step above
- Contact telephone number for the scholar
- Departmental contact telephone number
- Period of time during which the scholar will be associated with UCLA
- Return all required documentation to the BOL Office in Kerckhoff Hall, Suite 124
Once the visiting Scholar has selected his Non-Affiliated UCLA Logon ID (Non-UID) and has returned his documentation to the Bruin OnLine Help Desk, the Accounts Administrator will then add services to the UCLA Logon ID and contact the scholar via the email address provided when provisioning the Non-UID. "Special"-class Users and Bruin OnLine Service Expiration
Departmental, group and organizational e-mail accounts expire on October 31st of every calendar year. A warning message will be sent via email at the beginning of October. If your account has expired and you would like to renew/activate it for another year, please complete the Departmental E-mail Account Renewal Form. Please return the completed form to the BOL Help Desk.
ASUCLA Bruin OnLine e-mail accounts and access to BOL services expire on December 31st of every calendar year. A warning message will be sent via email at the beginning of December.
Access to Bruin OnLine services for special-class users normally expires at the termination of the individual's appointment at UCLA. A warning message will be sent via email at the beginning of the individual's last appointment month.
